The Biggest Mistake Real Estate Agents Make with Time Management

(and How to Fix It)

Hey there, fellow real estate pros. Let's talk about one of the biggest challenges every entrepreneur (yes, even the successful ones) runs into—time management. Spoiler alert: the biggest issue isn't a lack of planning.

Let’s get straight to it.

The real problem is not knowing what to focus on and when.

If you’re aiming to scale your real estate business, achieve those massive goals, and, yes, actually enjoy life along the way, it comes down to one critical skill: identifying your true priorities and structuring your days, weeks, and months around them. Because when you master this, you’ll get the results you want in far less time than you thought possible—and with way less stress.

Here’s the game plan to move mountains with ease:

By organizing your schedule around your top priorities and making adjustments as needed, you’re creating a powerhouse structure that allows you to accomplish BIG things, sometimes in weeks instead of years. So, here’s what I tell clients when they ask for advice on maximizing time without burning out.

Common Question:

“Jason, I’m stressed with work and have zero personal time. Help!”

Answer? Let’s rebuild your Perfect Week. Here’s how to prioritize and reset, step by step:

  1. Family Time First 👨‍👩‍👧‍👦
Decide how much time your partner and kids need from you. This goes on your schedule first.

  2. Get Moving 🏃
What’s your minimum effective dose of exercise? This isn’t about training for a marathon—just enough movement to keep you energized. You can always add more, but start here.

  3. Learning Time 📚
Keep sharpening your skills. Whether it’s market trends or personal development, make space for growth.

  4. Recovery Time 🛌
Don’t overlook this. Time to unplug and recharge should be non-negotiable.

  5. Evening Routine 🌙
Set a winding-down schedule. This is where you start separating work from personal time, so your mind and body know when to turn off work mode. I use the reverse alarm clock method. I set it for 8:30pm to prepare for bed.

  6. Deep Work Morning Routine 🌅
Structure your mornings for intense, focused work—this is when you’ll be at your peak performance, so guard this time for high-impact tasks.

  7. Cutoff and Planning Time
Decide when to shut things down and give yourself a moment to plan for the next day. This is key to staying ahead of the chaos.

  8. Now Add Work: Sales Calls and Team Meetings 💼
Finally, add in calls, meetings, and operational work. When everything else is organized, you’ll find this flows smoothly into your day.

Most people do this backward or skip steps altogether—and that’s why they’re constantly drowning in work, missing family time, and stressing over deadlines.

The trick is understanding this simple concept: work will always expand to fill the time available for it. (Ever heard of Parkinson’s Law? If not, remember it!) This is why prioritizing is crucial—it forces you to allocate time to what matters most and let work fit into the remaining slots.

When your priorities are in order, you’ll not only have time for the important things but will also find yourself working faster and more efficiently. And the best part? You’ll be amazed at how much you can accomplish.
